PDF Too Large to Email? What Actually Works
You hit send, and it bounces back with some version of "attachment too large." Annoying, but fixable - and usually faster to fix than it feels in the moment.
The Limit Is Lower Than You Think
Most email providers advertise a 25MB attachment limit, but that number is misleading. Attachments get re-encoded for transfer, which inflates their effective size by roughly a third - so a file sitting right at 24MB can still get rejected. If your PDF is anywhere close to 20MB, it's worth shrinking before you try again rather than assuming it'll just barely make it.
Step 1: Compress It First
Before reaching for a workaround, try the direct fix. Open Compress PDF, upload the file, and see how far it drops. Documents built from scanned pages or embedded photos often shrink by 60% or more without a visible quality loss - which is frequently enough to clear the limit on its own.
Step 2: If It's Still Too Big, Split It
Some documents are just long - fifty scanned pages of a contract, for instance - and no amount of compression gets them under the limit without wrecking readability. In that case, Split PDF breaks the file into two or three smaller pieces you can send as separate attachments, or across separate emails if the recipient's system also caps total message size.
Step 3: When Neither Is Enough
For genuinely large files - hundreds of high-resolution scans, for example - compression and splitting both have limits. At that point a file-sharing link (Google Drive, Dropbox, WeTransfer) is the more reliable option; it sidesteps attachment limits entirely. It's a reasonable fallback, just not usually the first thing to reach for, since it adds a step for whoever's receiving the file.
A Note on "Optimized" vs Actually Smaller
Some PDF software has a "Save As Reduced Size" option that does very little on documents that are already reasonably efficient - the file size barely moves. If you've tried that and the number didn't budge, the file likely needs real recompression of its embedded images, which is what a proper compression tool actually does, rather than just re-saving the same data.
