How to Make a PDF Under 1MB, 2MB, or 5MB
Most compression advice says "make it smaller." That's not always the problem. Job portals, visa applications, and government upload forms usually give you a hard number - "must be under 2MB" - and a file that's merely smaller doesn't help if it's still 2.3MB.
The good news: hitting a specific size target isn't guesswork if you know what's actually taking up the space.
Why Some PDFs Refuse to Shrink
A ten-page PDF of typed text compresses to almost nothing - text is tiny data. A ten-page PDF of scanned pages is a different story, because each page is really a photograph, and photographs are what eat file size. If your PDF came from a scanner or a phone camera, that's almost always where the size is coming from, and it's also where you have the most room to cut it down.
Getting to a Specific Number
Open Compress PDF and upload your file. Instead of picking a vague "high/medium/low" setting, look for the option to target a size or quality level, and adjust it down while watching the estimated output size. For a scanned document, you'll often see the size drop by 70-90% before the text starts looking noticeably softer - there's usually more headroom than people expect.
If Compression Alone Doesn't Get You There
Sometimes a document is long enough that even aggressive compression won't land under a small target like 1MB. In that case, two options: push the compression further and accept a bit more softness in the scanned images, or use Split PDF to break the document into smaller pieces that each clear the limit on their own - useful if the form accepts multiple files, or if you only actually need part of the document.
A Quick Gut-Check Before You Submit
After compressing, open the file back up and actually look at it - not just the file size number. Scanned text should still be legible at normal zoom, and any signatures or stamps shouldn't have turned into mush. If something looks off, back off the compression slightly and try again; there's almost always a setting that hits your size target without visibly hurting readability.
